1. General

1.1 Purpose

This Flight Operations Manual (FOM) establishes the operational standards, conduct policies, and procedural framework governing all members of Hellenic Airlines Virtual.

This document is binding for all pilots operating under the company callsign.

1.2 Scope

  • All online and offline operations conducted under the airline
  • All official events and coordinated flights
  • All flights logged through the approved tracking / ACARS system
  • All interactions on supported online networks

1.3 Authority

The Flight Operations Department retains full authority over operational standards, disciplinary decisions, pilot eligibility, and event participation approval. Management decisions are final.


2. Professional Standards

2.1 Conduct

All members shall maintain professional behavior at all times and represent the airline with integrity.

  • Respect other pilots, staff, and Air Traffic Controllers
  • Avoid disruptive or unrealistic behavior
  • Operate with aviation discipline and situational awareness

2.2 Public Representation

Pilots operating online are considered representatives of the airline. The following are strictly prohibited:

  • Trolling, harassment, or disruptive behavior
  • Intentional rule violations on any network
  • Arcade-style or unrealistic operations under the company callsign
  • Public misconduct that damages the airline’s reputation

3. Online Operations

3.1 Approved Networks

Official operations are supported on IVAO. Flights on other networks may require prior approval.

3.2 Callsign Usage

  • The official company callsign (HEQ) must be used at all times when flying with Hellenic VA.
  • Altered, unofficial, or joke callsigns are not permitted.
  • Callsign misuse may lead to suspension or removal.

3.3 ATC Compliance

  • Full compliance with ATC instructions is mandatory.
  • Use ICAO standard phraseology whenever possible.
  • Operate according to real-world IFR/VFR standards.
  • Maintain separation, speed/altitude discipline, and situational awareness.
Intentional ATC non-compliance is grounds for immediate review and disciplinary action.

4. Flight Operations Policy

4.1 Operational Philosophy

Hellenic Airlines Virtual operates under a realism-oriented model designed to simulate real-world airline operations. Pilots are expected to apply standard operating procedures (SOPs) and demonstrate consistent procedural discipline.

4.2 Flight Planning Expectations

  • Proper fuel planning is required (including alternates where applicable).
  • Weight & balance must be respected.
  • SID/STAR procedures should be followed when available.
  • Realistic routing is strongly recommended.
  • Real weather is encouraged for online operations.

4.3 Aircraft Authorization

Pilots may only operate aircraft that:

  • Are included in the official fleet
  • Use realistic performance data
  • Do not include arcade modifications or unrealistic enhancements

4.4 ACARS & Flight Validation

All flights must:

  • Be tracked via the approved ACARS / tracking system
  • Be flown in real-time (no time acceleration)
  • Not use slew mode, teleport, or position manipulation
  • Avoid excessive pause during cruise
  • Be submitted within 24 hours of completion
Flights violating these conditions may be rejected or invalidated without further notice.

5. Event Operations

5.1 Mandatory Compliance

During official events:

  • Slot times must be respected
  • Briefings must be reviewed prior to departure
  • Assigned routes and procedures must be followed
  • Event coordinator instructions are binding

5.2 Cancellation Policy

Last-minute cancellations without valid reason may affect event eligibility, rank progression, and operational standing.


6. Activity & Roster Policy

6.1 Activity Requirement

To maintain active status, pilots are expected to log at least one valid flight within 30 days.

6.2 Inactivity Handling

  • 30 days → Activity warning
  • 60 days → Temporary inactive status
  • 90 days → Removal from roster (subject to management review)

Exceptions may be granted upon prior notification.


7. Disciplinary Policy

7.1 Violations

Violations include, but are not limited to:

  • Falsified flight reports or data manipulation
  • Network misconduct or intentional rule-breaking
  • Unrealistic operations under the company callsign
  • Disrespect toward ATC, members, or staff
  • Repeated procedural negligence

7.2 Corrective Actions

  1. Written warning
  2. Temporary suspension
  3. Rank restriction
  4. Permanent removal

All disciplinary decisions by management are final.


8. Safety & Operational Integrity

Safety and realism remain the foundation of all operations. Pilots are expected to prioritize safe procedures, conduct stable approaches, respect go-around decisions, and avoid reckless flying.

Operational integrity overrides personal preferences.


9. Final Provisions

This document may be amended at any time by the Flight Operations Department. Continued membership implies full acceptance of this manual and future revisions.
